Enterprise CRM Platform
A full-stack business operations system centralizing customer management, estimating, print & web production, reporting, and QuickBooks integration into one unified platform.
What We Solved
Project Overview
AC Graphics CRM was built to replace a fragmented stack of spreadsheets, email threads, and standalone accounting tools. The platform covers the entire business lifecycle — from the first website inquiry to production completion and QuickBooks billing.
Built on a modern MERN stack with React 19, Node.js, Express, and MongoDB Atlas, it delivers scalable cloud infrastructure, automated workflows, and enterprise-grade security.
Platform Modules
Every business function covered — from authentication to QuickBooks synchronization.
JWT auth, Google OAuth 2.0, refresh token rotation, RBAC with admin governance and suspended account controls.
Centralized customer records with company info, billing/shipping addresses, QuickBooks-linked data, CSV import/export, and bulk operations — all scoped to user ownership.
Public website inquiry capture feeds directly into CRM. Automated contact enrichment matches leads to existing customers. Full pipeline tracking from New → Won/Lost.
Visual pipeline: Prospecting → Negotiation → Open Job → Job Won. Revenue forecasting, win/loss analytics, weighted opportunity tracking.
Server-side auto-calculations: line items, subtotals, discounts, tax. Auto-generated quote numbers. Full lifecycle from Draft → Invoice Generated.
End-to-end print workflow: Intake → Pre-Press → In Production → Quality Check → Completed. Sequential job numbering with auto invoice triggering.
Full web project lifecycle: Intake → Planning → Design → Development → QA & Review → Launched. Fully linked to deals and quotes for end-to-end traceability.
Real-time dashboard metrics across all modules. Comparative date-range analysis, sales & production summaries, pipeline analytics. Export everything to CSV or XLSX in one click.
Bidirectional sync for customers and estimates. Multiple QB account support, webhook events, and secure OAuth 2.0 token management.
End-to-End Process
Every operational step connected, tracked, and automated within a single platform.
Step 01
Visitors submit inquiries via the public web form. The backend validates, normalizes, and stores the submission as a CRM lead — no authentication required from the visitor.
Step 02
The system automatically matches leads against existing contacts by name, email, or phone. Leads are enriched, staged, scored, and assigned to a representative.
Step 03
Qualified leads convert to pipeline deals. Sales reps generate structured quotes with line-item pricing — subtotals, taxes, and discounts are all calculated server-side automatically.
Step 04
Accepted quotes auto-create jobs on Print or Web production boards. Sequential job numbers are generated. Status progresses through defined workflow stages until completion.
Step 05
On job completion, quote status auto-updates to "Invoice Generated." QuickBooks sync then pushes contacts and estimates bidirectionally for seamless billing and accounting.
